Secretary

DEPARTMENT: Planning Services      ANNUAL SALARY RANGE: $36,795 to $48,131
                                                                                                (salary effective July 1, 2019)
 
GENERAL STATEMENT OF DUTIES: Performs a variety of complex clerical duties; performs related work as required.
 
DISTINGUISHING FEATURES OF THE CLASS: The work in this class involves responsibility for the performance of difficult and varied clerical duties. Employees in this class are required to exercise independent judgment and the work is reviewed by the supervisor through conferences and results achieved.
 
EXAMPLES OF WORK (ILLUSTRATIVE ONLY):
 
ESSENTIAL: Accurately develops memorandums, correspondence, reports and documents from rough drafts; composes correspondence in accordance with standard policies and general instructions; performs billing and payroll functions; drafts newsletter articles and news releases; proofs publications; maintains website content; handles confidential information; responds to written and verbal residents inquiries and requests for service in a courteous, timely and equitable manner; explains policies and procedures; arranges appointments and meetings; routes incoming mail and correspondence; maintains files; requisitions supplies; prepares purchase orders; maintains records; compiles statistical data and reports; performs data entry; keeps informed on improved office procedures and equipment; operates a computer, calculator, copier, transcriber, document imaging and related office equipment; greets customers by telephone and in person; takes minutes at meetings; participates in the City’s intercultural competency training and program.
 
KNOWLEDGE, SKILLS AND ABILITIES:
 
ESSENTIAL: Knowledge of modern office procedures, practices, systems and equipment; knowledge of accepted filing and record maintenance procedures; knowledge of diversity, equity and inclusion; ability to type accurately and with a minimum speed of 60 wpm; ability to perform complex clerical work involving independent judgment and requiring attention to accuracy and speed; ability to meet deadlines under pressure; ability to spell and use correct grammar; ability to maintain confidentiality; ability to maintain effective working relationships with employees, Boards and Commission members and the general public; ability to exercise independent judgment and use resourcefulness and tact in solving problems; ability to operate a computer; skill in the use of word processing and spreadsheet software applications and document imaging equipment; ability to meet the public courteously and to obtain and give information; ability to understand and carry out complex oral and written instructions; ability to communicate clearly, both orally and in writing; demonstrated ability to follow a management style that is input-oriented and values equity, problem solving and the development of partnerships; demonstrated ability to work effectively as a member of a team; desire to be part of an organization that values service, people, integrity, responsibility, innovation and team work.
 
ACCEPTABLE EXPERIENCE AND TRAINING: Considerable clerical experience; experience working with a diverse workforce and population; possession of a high school diploma, or its equivalent, supplemented by advanced course work in secretarial and business practices; or any equivalent combination of experience and training which provides the essential knowledge, skills and abilities.
 
OVERTIME STATUS: Non-Exempt
