Office & Admin Specialist Intermediate

Job Summary
This position will provide administrative business system support to the Municipal and Industrial Divisions of the MPCA. This position provides E-Services/On-Line Services supporting Cross Media Electronic Reporting Regulation On-Line Services Portal (CROMERR) to the following programs: Air Quality Emissions Inventory, Consolidated Emissions Data Repository (CEDR), eDMRs, Construction Stormwater, Industrial Stormwater, Hazardous Waste, Pesticides, Solid Waste-Open Landfill Data and Petroleum Remediation. This position serves on the Agency’s
Publication Support Team, provides backup data entry in TEMPO and provides administrative assistance for NPDES Construction Stormwater, Industrial Stormwater, MS4, Septic Sewer Treatment System (SSTS) Programs, and provides other administrative tasks as assigned.

Minimum Qualifications
  • Typing and word processing skills sufficient to produce quality documents and reports in an efficient manner.
  • Knowledge of and ability to use various office software (i.e. Microsoft Word for Windows/Microsoft Outlook, Excel, Access, PowerPoint and Publisher).
  • Ability to learn databases/workflows.
  • Ability to scan multiple page documents.
  • Data entry skills sufficient to enter data efficiently and with accuracy.
  • Customer service and human relation skills in order to treat customers and staff in a courteous and respectful manner.
  • English skills sufficient to understand written instructions and provide information to customers and staff.
  • Familiarity with office equipment (i.e. scanner, facsimile, thermal laminator etc.)
  • Time management skills sufficient to balance and prioritize daily incoming work.

Preferred Qualifications
  • Skill/experience in Microsoft Office products including Word, Outlook, Excel and InDesign.
  • Skill/experience in Adobe InDesign to update and produce electronic documents and forms for Publication Support team.
  • Telephone customer service skills.
  • Experience using Tempo and/or OnBase.
  • Ability to research information.

Physical Requirements
Requires occasionally lifting and/or carrying such articles as file folders, ledgers, and small equipment. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties.
