Project Coordinator, Finance and Operations

USAID Advancing Nutrition project is the Agency’s flagship nutrition project, led by JSI Research & Training Institute, Inc. (JSI), and a diverse group of experienced partners. Launched in September 2018, USAID Advancing Nutrition implements and provides technical support to nutrition interventions across sectors and disciplines for USAID and its partners. The project’s multi-sectoral approach draws together global nutrition experience to design, implement and evaluate programs that address the root causes of malnutrition. SUMMARY
The project coordinator will work to keep the Finance and Operations (F&O) team organized and on deadline through day-to-day administrative support. They will work closely with the Grants Manager to administer the projects grant portfolio, coordinate internal administrative functions and provide F&O support to other teams. The project coordinator will support the project’s travel approval process, monitor and track project purchase orders, and support procurement and HR efforts as necessary. The ideal candidate will have a strong interest in or experience with grant management, finance, and/or operations. They are based in Arlington, VA and will report to the Operations Manager. The salary range for this position is $47,500 - $53,426. Please note the JSI office is closed due to the ongoing pandemic and that all project staff are working remotely until the office reopens.

RESPONSIBILITIES:
The project coordinator will:
●     Work closely with the Operations Manager to provide administrative support to the F&O team and project, including; coordination of team meetings, team tracking systems, project communication tools, and others as needed. (10%)
●     Coordinate internal team meetings, partner meetings, trainings and other gatherings by supporting all aspects of planning, procurement, execution, and material development. (5%) 
●     Work with Operations Manager to organize and maintain team-filing systems. (5%)
●     Review and submit travel requests to USAID, with oversight from the Operations Manager. (15%)
●     Provide administrative support to country programs, including creation of email accounts, project start up/close out support, and other activities as necessary. (10%)
●     Monitor and update the project’s purchase order tracker to ensure timely, accurate payment.
●     Serve on procurement committees and work closely with Contract Managers to ensure proper understanding and implementation of the procurement process. (10%)
●     Support recruitment process through posting JDs, reviewing applicants, conducting phone screens and providing other support as necessary. (15%)
●     Work closely with the Grants Manager to support implementation of the grants portfolio, including but not limited to packaging of grantee invoices for payment, assisting with grantee funding requests, maintaining grantee project files, and general grantee support in collaboration with Grants Manager. (30%)
●     Perform other related duties as requested/assigned.

QUALIFICATIONS:
Education: Bachelor’s degree required.

Experience: Post-graduate work experience preferred, but work experience through school and/or summers accepted. Experience with grants, finance, and/or operations preferred. Recent graduates welcome to apply!

Required Skills:
  •  Strong experience in excel and data tools.
  •  Experience living, studying, or working overseas.
  • Academic, volunteer or other exposure to finance and administration activities.
  •  Exceptionally organized and attentive to detail.
  • Ability to interact professionally with culturally and linguistically diverse colleagues
  •  Proactive and comfortable independently gathering information to complete tasks.
  • Ability to work comfortably in the MS Office Suite applications, specifically MS Word, Excel, and PowerPoint as well as Google applications, e.g. Google Docs, Google Drive. 

 Preferred Skills:
  • Experience and exposure to implementing or monitoring grants.
  • Experience in planning/coordinating events, travel logistics, and basic financial management.
  • Ability to work under pressure and adapt to different environments. 
Languages: English fluency required. French, Portuguese, or Spanish strongly preferred.
