The pay range for this position is $14.42- $17.50/hr. 

The CSU Alumni Association is seeking an Event & Engagement Assistant! This student position will support development communications, donor and alumni relations, and general office functions. This is a part-time, professional position.

The Event & Engagement Assistant will serve in a position that supports the CSU Alumni Association Engagement Team by completing administrative tasks, event preparation, event set-up and teardown, at-event support, guest services, and other duties as needed to create and execute successful programs and events. In addition to the aforementioned duties, this position will also serve as an event lead for predetermined events and will lead the entire event planning and execution processes. This position will deliver superior customer service for alumni, guests, students, and friends of the University at all times. This position will work with various campus and community partners and CSUAA professional staff on a daily basis. 

What You’ll Be Doing 

  • Aide the Engagement Team in various projects, tasks, and initiatives related to events and programs offered to CSU alumni & guests. TW, C
  • Serve as Event Lead or Co-Event Lead for predetermined events; planning and overseeing the full event process. DP, V/WC, L, C, CD, PA
  • Manage event registrations and rosters; maintain confidentiality. DP
  • Assist event leads with pre-event preparations (i.e. supply inventory, name badge creation, etc.) TW  
  • Assist with at-event services/tasks and act as a at-event support staff for events and programs. CT/PS, V/WC
  • Act as an ambassador to alumni and guests of the University and CSUAA. L
  • Work 2-5 events per month (i.e. virtual events, Alumni Night Outs, on-campus events, etc) CT/PS, L, TW, PA
  • Assist with as-needed front desk coverage at the Smith Alumni Center front desk. L, TW

What We are Looking For 

Required Qualifications  

  • Must graduate May 2026 or later
  • Must be a CSU undergraduate student in good standing
  • Must be willing to start during Summer 2024
  • Must be able to work fall 2024 and spring 2025 semester.
  • Proficient in Microsoft Office.
  • Be able to lift and/or move up to 30 pounds of event materials at one time (ex. signs, tables, banners, etc.).
  • Upholds CSU Principles of Community and UA's mission for Inclusive Excellence by contributing to and providing an inclusive and respectful experience for colleagues and external audiences.
  • Must work 2 or more of the following CSU Football Games:
    • 9/7/2024 – Northern Colorado
    • 9/14/2024 – Colorado
    • 9/21/2024 – UTEP
    • 10/12/2024 – San Diego State
    • 11/16/2024 – Wyoming
    • 11/30/2024 – Utah State
    • Must work at least 1 event during Homecoming & Family Weekend (10/24-10/26)

Preferred Qualifications (but not required)  

  • Event planning and execution experience.
  • Knowledge and familiarity with University Advancement and the Alumni Association.
  • Experience in a customer service and/or event-planning role.
  • Knowledge of the Colorado State University campus and the surrounding Fort Collins area.
  • Demonstrates CSU pride.
  • Proven organizational skills, ability to manage multiple tasks and meet deadlines.
  • Ability to communicate clearly and concisely

Additional Job Details 

  • Start date range: May 25 - June 12, 2024
  • Be available to work approximately 15 hours per week beginning in the Fall 2024 semester, and approximately 10 hours a week during Summer 2024.
  • Standard weekly shifts must be available to work between the hours of 8am-5pm, Monday-Friday
  • Expected to work occasional evening and weekend event coverage as needed
  • Occasional opportunities for day-trip travel
  • University Advancement conducts background checks on all final candidates
