Position Description

Front Desk Student Employee

 

The Office of the Vice President for Student Affairs (VPSA) oversees the Division of Student Affairs at Colorado State University.  The Front Desk Student Employee will be the first point of contact for the VPSA office.  Primary responsibilities include greeting visitors, managing incoming calls, and providing general administrative support.  You will ensure a welcoming and professional environment, handle inquiries efficiently, and maintain a well-organized reception area.  Because of the complex work done in this office, student staff must be responsible, mature, dependable, and able to work independently and as part of a team.  Maintaining a sense of professionalism and confidentiality are also required.

 

Qualifications:

  • Must be currently enrolled at CSU
  • Must have at least a 2.0 cumulative GPA and be in good academic standing
  • Work Study: This is a work-study position; applicants must have or be eligible for work-study to apply
    • Please check with the Office of Financial Aid or your RAMweb for a work-study award
  • Flexible hours Mon-Fri between 8am-5pm
  • Must be able to work 10-15 hours/week
  • Options to work over breaks

Pay Rate: $14.81/hr

Job Description:

Student staff members assist with the day-to-day operation of the Vice President for Student Affairs (VPSA) office, as well as having additional duties pertaining to a specific area of focus.  General responsibilities for all student employees are listed below: 

 

  • Serve a first point of contact for the VPSA office:  greet guests, answer phone calls, and communicate messages to VPSA office staff.
  • Refer people to offices and resources across the CSU campus to best assist with their needs.
  • Assist with conference room reservation requests; access VPSA staff and conference room calendars to help with customer service needs.
  • Assist VPSA staff with various projects, which may include creating documents, maintaining spreadsheets, creating flyers, accessing division technology platforms, and organizing information.
  • Demonstrate computer literacy by utilizing the Microsoft Office suite, Adobe software, Qualtrics, Kuali, and other programs as needed for office-related projects.
  • Organize monthly signing and distribution of Division-wide birthday cards.
  • Assist with signed documents, filing, creation of electronic documents, and document tracking records.
  • Review and update Division-wide listserv membership and other contacts.
  • Retrieve and distribute incoming/outgoing mail.
  • Coordinate room reservations for office programs and events.
  • Keep shared spaces within the office stocked with supplies, straightened, and clean, including student desk, conference room, kitchen, storerooms, and copier areas.
  • Maintain and review entries in the student communication notebook regarding daily tasks and ongoing projects.
  • Complete campus errands as needed.
  • Respond to additional tasks as assigned by VPSA staff.

 

Specific Areas of Focus

In addition to the duties listed above, each student employee has the opportunity to focus on a specific area of interest.  Potential areas and associated responsibilities include:

 

Fiscal Operations Support:

  • Regularly meet and communicate with VPSA Fiscal Coordinator.
  • Ensure dependability and trustworthiness by adhering to fiscal operations guidelines.
  • Assist with financial operations, including preparing and submitting internal orders, disbursement vouchers, cashier receipts, requisitions, and purchases.
  • Prepare and distribute monthly fund and PCard transaction reports.
  • Monitor account balances, generate activity spreadsheets, and communicate with faculty/staff.

Deans Team Support: 

  • Assist in the processing of religious accommodation letters for CSU students.
  • Assist in tracking and updating departmental org charts.
  • Organize and support the creation of monthly Dean on Call schedules.
  • Update and track changes for our university religious holiday observances calendar.
  • Keep the Deans team up to date with daily news and events that may impact our students.

DSA Assessment Support:

  • Assist Director for Assessment with providing access to myriad technology platforms.
  • Assist division offices with the transition of survey platforms from Anthology/Baseline to Qualtrics
  • Create surveys in Qualtrics as needed.
