POSITION

SUMMARY:                                 The Event Management Experience is a rotational internship program. This internship is a two-semester commitment, which will run through the months of September – May. This program is designed to provide hands-on learning experiences for those who are interested in careers in the hospitality and live entertainment industry. He/she will rotate and focus on various areas of the business. These areas include: Box Office, Food & Beverage, Operations, Event Coordinating, and Business Development/Sponsorships.                                          

QUALIFICATIONS:     

  • Junior or Senior enrolled in a university.
  • Strong desire to learn along with professional drive
  • Excellent verbal, written, and interpersonal communication skills
  • Flexible schedule and available to work nights, weekends, and holidays.

 

 

ROTATIONAL EXPERIENCES / RESPONSIBILITIES:

 

Bayfront Convention Center - Event Coordination Experience: 

He/she will work closely with the Bayfront Convention Center Assistant General Manager / Sales team to learn and understand the following: 

 

  • Complete Property Tours of Bayfront Landing.
  • Attend client site visits.
  • Learn the process of how to contract various events.
  • How to detail an event and the distribution process.
  • Learn the basics of how to prospect for Sales and how to close a sale – Sales Process 101.
  • Follow up on leads for the Bayfront Convention Center.

Develop Customer Service Skill Set

  • Learn how to utilize internal CRM Sales Software – Microsoft Dynamics.
  • Attend weekly BEO’s Meetings (Banquet event Order) – have thorough understanding of the processes.
  • Overview of Budgets, Revenue Generation, and PACE reports.
  • Sales Space overview – what fits and where – space maximization.
  • Overall briefing of Sales Market Segment breakdown, goals, and accountability

   

Warner Theatre - Operations Experience:

He/she will work closely with the Warner Theatre Building Manager to learn and understand the following: 

 

  • Opportunity to shadow manager on duty during show nights and assist where needed.
  • Learn how to prep the Warner Theatre for concerts.
  • Learn the process on how  to sell the Lobby and Rehearsal Hall.
  • Assist with developing  and setting a security plan for events.
  • Assist with Scheduling in UKG Software for the Bartenders and Guest Services.
  • Learn the process of Food & Beverage ordering at the Warner Theatre
  • Participate in show advance calls.
  • Detail meetings for lobby/rehearsal events.

 

Erie Insurance Arena – Food & Beverage Experience: 

He/she will work closely with the Erie Insurance Arena Concessions Operations Manager to learn and understand the following: 

 

  • Assist food & beverage management during Erie Insurance Arena events that need assistance and or problem solving.
  • Work with team for event set up, which includes prep sheets and sign in sheets.
  • Assist with end of event reporting and recordkeeping.
  • Learn and assist with employee Arena      scheduling in UKG.
  • Assist management with ordering and food costing.
  • Collaborate with building leaders regarding menu development.
  • Assist with month end reporting and reconciliation. 

 

 

Erie Events – Business Development Experience: 

He/she will work closely with the Director of Business Developments/Sponsorships to learn and understand the following: 

 

  • Sales Support with research prospects, assist with outreach, and prepare sales materials.
  • Conduct research on potential partners and contribute to lead generation efforts.
  • Provide administrative and operational support for business development projects.
  •  Assist in planning and executing Bayfront Convention Center trade show events. 
  • Assist with creating proposals for potential sales and sponsorships.
  • Help maintain organized records related to all trade shows and group sales.

 

Erie Events – Box Office Experience

He/she will work closely with the Box Office Manager to learn and understand the following: 

 

  • Learn about Box Office operations including but not limited to sales.
  • Place holds, set up presales and sales links per the show instructions.
  • Observe, learn, and create a show build.
  • Verify the floor is properly set/numbered correctly.
  • Work with show promoter to determine if show holds can be released.
  • Issue payment to promoter or collect bank Wire info to send proceeds.
  • Manage complimentary tickets from the promoter.
  • Prepare Box Office Statement and prepare settlements
  • Reconcile parking with Security.
